Editor Guideline

Editors (often medical students) manage the operational flow and act as the final gatekeepers before content is published to the public site.

  • Editorial Dashboard: Editors must actively monitor the Dashboard in ThaiOML Studio for new article "pitches".
  • Pitch & Assignment: When a new pitch is submitted, an Editor should review the abstract. If acceptable, they assign themselves as the overseeing editor, assign appropriate reviewers, and change the status to accepted.
  • Drafting Oversight: The Editor oversees the drafting process. Once the author finishes the draft and marks it as in_review, the Editor ensures the assigned reviewers evaluate it.
  • Formatting Compliance: Editors must serve as the gatekeepers for the high-yield, bulleted formatting. Do NOT merge articles that contain long paragraphs, lack bolded emphasis, or fail to follow the standardized section headers. Return them to the Author for formatting corrections.
  • Proxy Approvals: We recognize that some staff reviewers may not be comfortable navigating the CMS or GitHub. Student editors are authorized to approve and merge content on behalf of staff reviewers once they have received verbal or written confirmation of clinical accuracy outside the platform.
  • Legal & Privacy Gatekeeping: Editors must verify that submitted articles do not contain copyrighted material from external sources (e.g., figures or tables ripped directly from medical textbooks) without proper licensing. Furthermore, Editors must ensure that no identifiable patient data is included, except in specific cases (like published case reports) where the authors have documented consent and the legal right to publish it.
  • Final Check & Publishing: Before finalizing, the Editor must ensure the review_status is updated to published (which moves the article from the editorial staging directory to the main articles directory) and the last_medical_review date is set accurately. They are then responsible for merging these changes into the main branch.
  • Copyright & Licensing: Editors manage the publishing flow but do not obtain copyright over the content they format or merge. Copyright remains with the original authors subject to the ThaiOML CLA (which grants rights to the ThaiOML Project and its legal successors). All published content falls under the CC-BY-NC 4.0 license.
